ݮtv (ݮtv FMA) is committed to protecting your personal and confidential data and takes its responsibility for the security of your data very seriously. This policy describes how ݮtv FMA use personal data and how ݮtv FMA protect personal data.

The ݮtv FMA Privacy Policy applies to information that ݮtv FMA collect through our online systems or websites or applications for example , gec.acifma.com, elac.acifma.com, webshop.acifma.com, our mobile app as well as off-line collections of information from exam candidates of ݮtv FMA certificates or diplomas, information for continuing professional development services, information collected in our events or information from entities with whom ݮtv FMA interact or have a professional relationship with and to provide our membership or education programmes or services (ݮtv FMA Services).

Personal data – information ݮtv FMA collects

When you use our ݮtv FMA Services, ݮtv FMA collects information about you to provide you with a personalised service, to understand your needs, to offer you information about our products and services or for other purposes described in this document.

Examples of instances when ݮtv FMA may collect personal data include but are not limited to, when:

  • you are a member of ݮtv FMA or an ݮtv FMA National Association
  • you are registered for an ݮtv FMA certificate exam, diploma or licenced education and certification service by you or your employer
  • you allowed a trainer to share your personal data to ݮtv FMA
  • you voluntary provide the information to us
  • you interact with our Sites or App
  • you communicate to us via email, phone or mail
  • you sign up for a newsletter, event or workshop
  • you participate in a survey
  • you attended one of our events

We collect the following types of personal data:

1. Personal data you provide to us

Account information

Some personal data is required to schedule an exam, record membership status, update our public registry of candidates or create an account on ݮtv FMA Services, such as your name, email address, password, date of birth, gender, country information and in some cases your mobile telephone number. This is the only personal data you have to provide to create or activate an account with us. You may also choose to provide other types of information, such as a profile photo, biography.

Additional information

To help improve your experience or to enable or improve certain features of ݮtv FMA Services, you may choose to provide us with additional information such as your employer, position, qualifications or membership to other associations or trainer organisations you use to .

Payments and card information

Some ݮtv FMA services support payments and transactions. When using payments and transactions you must provide certain information for identification and verification, such as your name, credit, debit or other card number, card expiration date, and CVV code. This information is encrypted and sent to your card network, which upon approval sends back to your device a token, which is a set of random digits for engaging in transactions without exposing your card number. For your convenience, ݮtv FMA store the last four digits of your card number and your card issuer’s name and contact information. You can remove the token from your account using your account settings. We do not store your transaction history

2. Information ݮtv FMA receive from your use of our ݮtv FMA Services

By accessing our ݮtv FMA Services

When you access or use our ݮtv FMA Services, ݮtv FMA receive certain usage data. This includes information about your interaction with the ݮtv FMA Services, for example but not limited to, when you view, search or contribute content, answer exam questions, create or log into your account, make a payment in our webshop.

ݮtv FMA needs information to process your membership details, learning progress, grading or scoring of learning activities, certificate requests, graduate certificate searches, applications for newsletters, events or workshops, request for private access to our website, exam results or orders such as exam bookings. ݮtv FMA collects all the information you provide to us, required to perform the tasks mentioned above and what we learn about you by observing how you use our services and how you visit our website and other sites accessible from it. In addition, we collect information about the transactions you have made, including the cards used to pay. We may also collect additional information relating to your participation or when you give us your opinion. We will use your data to provide a personalized service. We use your contact information to communicate with you. We may use your personal data to send you offers and news about ݮtv FMA products or services. To do this, ݮtv FMA can contact you by mail, e-mail, telephone (SMS included). For personal data subject to the European Union General Data Protection Reguation (GDPR), ݮtv FMA rely on several legal bases to process the data. For example, when you have given your consent, which you may withdraw at any time using account settings or by contacting us; when processing of information is necessary to perform a contract with you or your employer, like the Terms of Service; and our legitimate business interests, such as in improving, personalising, and developing the Sites, App and Services, communicating new features or products that may be of interest, and upholding the safety and security of our ݮtv FMA Services.

ݮtv FMA reserves the right to send emails or other communications for administrative or transactional purposes, including, but not limited to, communications related to the user’s ݮtv FMA Certification, ݮtv FMA Diploma or ݮtv FMA ELAC Certification status or the maintenance of your ݮtv FMA account as well as sharing of your personal data including information about your payment method to the company that issued the credit / debit card you used to pay for a service you purchased on our ݮtv FMA Services.

Examples how ݮtv FMA may share your information:

  • We may also authorise access to your data by other third parties acting on our behalf for the purposes stated in this policy statement or to others you have approved. Your data will not be processed outside of the European Economic Area.
  • We may also authorise access to your data by trainers acting on your behalf and approved by you, for example for exam bookings, learning progress, certificate requests and provision of exam results, membership status.
  • We may also authorise access to your data by the ݮtv National Associations that are included in the ݮtv FMA network, for the purposes stated in this policy statement or to others you have approved.

Personal data - your rights to access and control

1. Access and control through personal account

By logging into your account on our ݮtv FMA Services you can access much of your personal data. Your account settings let you change your personal data and control how personal data can be used by ݮtv FMA.

2. Opt-out of Information sharing

Users may opt-out of any information sharing of personal data on ݮtv FMA Services. Regardless of recorded opt-out preferences, ݮtv FMA reserves the right to disclose information in connection with verifying your ݮtv FMA Certification, ݮtv FMA Diploma, ݮtv FMA ELAC Certification status as described in this Privacy Policy.

3. Opt-out of mailing subscriptions

Users may opt-out of receiving certain future communications, sent by ݮtv FMA or by organisations authorised to send communication to users by the user. Users may at any time opt-out of receiving future communications based on topic/purpose or may opt out of all such emails:

  • by following the instructions at the bottom of the email received
  • by contacting us directly (See the “How to Contact Us” section of this Privacy Policy).

After you have submitted your email address to opt-out of promotional mailings, please note that you may continue to receive emails for a time while our system updates your request. Regardless of recorded opt-out preferences, ݮtv FMA reserves the right to send emails or other communications for administrative or transactional purposes, including, but not limited to, communications related to the user’s ݮtv FMA Certification, ݮtv FMA Diploma or ݮtv FMA ELAC Certification status or the maintenance of your ݮtv FMA account.

Personal data - request about your personal data

You have the right to request a copy of the personal data held by ݮtv FMA about you, to allow you to access and control the personal data stored by us. This information can for example include exam booking information.

If you would like to request a copy of your personal data, please send a letter containing the following information to the following address:

  • Your full name;
  • Your postal address;
  • A photocopy of your national identity card or passport (the side with the photo);
  • Your e-mail address

Furthermore, you can request to object to ݮtv FMA’s processing of your information based on our legitimate interests, including as described in the Use of Personal Data section in this Privacy Policy or you can request to restrict our processing of your data in certain circumstances. Please note that you can always request to delete your account at any time.

Once we have received a request listed above and / or the necessary documentation, ݮtv FMA will process your request. Although ݮtv FMA wish to process your request as soon as possible, ݮtv FMA comply with the deadlines set out by law.

Personal data - data retention

In accordance with the Privacy Law, ݮtv FMA comply with drastic security procedures for the storage of information that you have provided, to prevent unauthorized access.

If, as stated in this Policy Statement, ݮtv FMA will communicate your information to a third party, ݮtv FMA will ensure that the security measures taken by such third party with respect to the storage and retention of your data are at least as strict as those Implemented by ݮtv FMA. Personal data - policies for children under 16

We do not intentionally gather personal data about visitors under the age of 16 on our ݮtv FMA Services. If you believe ݮtv FMA have inadvertently collected information about your child, please contact us and ݮtv FMA will attempt to delete the information. When you book an exam, or enter information that identifies you, your details are safely transmitted over the Internet through very sophisticated coding. Furthermore, in accordance with the Privacy Law, ݮtv FMA comply with drastic security procedures for the disclosure of information that you have provided, to prevent unauthorized access.

As part of these security procedures, ݮtv FMA may need to ask you for proof of identity before certain important information can be revealed. If, as stated in this Policy Statement, ݮtv FMA will communicate your information to a third party, ݮtv FMA will ensure that the security measures taken by such third party with respect to the processing of your data are at least as strict as those Implemented by ݮtv FMA. However, these circumstances do not apply when ݮtv FMA is required by law to disclose your information to a third party.

We may from time to time use tracking software to monitor customer viewing and usage patterns to improve its design and presentation and better meet the needs of the visitors to the Sites mentioned above. This software does not allow us to obtain personal data that can identify visitors.
